My Center’s information is incorrect on my booking pages or appointment reminders. How do I fix this?

Occasionally, you may find that your Center's name, address, phone number, or other details are incorrect or not formatted as you wish.

This may occur because certain information about your Center has not been entered correctly into the necessary fields/settings in Apptoto. It is especially important to ensure all of your Centers' information is entered correctly if you use dynamic fields to insert custom information about your Center onto your booking pages, confirmation emails, reminder messages, etc.

Another reason this can occur is because multiple centers are managed under one Apptoto account, and one Center’s details are copied to another Center’s booking pages. Regardless, we’ll cover how to ensure your details are set up correctly, whether you manage one Center or multiple.

One Center

When you sign up for Apptoto, you’re asked to enter details such as your Center’s name, phone number, and URL. This information is all used to populate dynamic fields where you use them.

If these are displaying incorrectly:

  1. Navigate to "Settings" > "Contact Info."
  2. Make sure your name is entered correctly. 
  3. Ensure your phone number and URL are correct for your CenterScreenshot 2024-09-03 at 12.47.46 PM.png
  4. Navigate to "Settings" > "Calendars" > Gear Icon > Calendar Name. 
  5. Set the Calendar name to your Center's full name ("Mathnasium of Location"). This will automatically populate the field {{franchise_location_name}} with your Center's name anywhere you see it.
  6. Navigate to Settings > Address (may also be called “Locations”).
  7. The address you entered when you first signed up for Apptoto should be set as the default address. If you need to update this information, click the pencil icon and add or update your address and other contact information. Screenshot 2024-09-03 at 11.45.54 AM copy.png
  8. If your booking pages, messages, etc., still show the wrong contact/location details after updating all the settings above, check to ensure you didn’t incorrectly enter the information by hand.
    • Booking Pages: 
      • If a booking page displays incorrect information, navigate to the “Booking Pages” tab, then select the booking page with issues. Then check:
        1. “General” tab > Title, Description
          • For example, does your title or description use {{franchise_location_name}} to dynamically fill in your Center name, or have you written it out manually?Screenshot 2024-08-28 at 11.47.09 AM.png

    • Appointment Reminder Messages
      • If your reminder messages display incorrect information, then:
        1. Navigate to the “Messaging” tab, then “Appointment Auto Messages.”

Multiple Centers Under One Apptoto Account

If you manage multiple Centers under one Apptoto account, it’s critical to ensure that each Center’s calendar, contact, and address information is set correctly. 

When you sign up for Apptoto, you’ll enter contact details for one Center, which will become your default. As you add more Centers to the same Apptoto account, you’ll need to configure each new location’s details to ensure that your booking pages, messages, etc., don’t display the default Center’s information (or another Center’s details).

**IMPORTANT**: These directions assume you’ve already synced your Google Calendar for your 2nd+ location. If you have not, please follow these directions.

  1. Navigate to "Settings" > "Address" (may also be called “Locations”).
  2. Click “+Add Location.”
  3. Enter the name of your Center, phone number, address, and description/directions if desired. Click create.

  4. Navigate to "Settings" > "Calendars."
  5. Click the gear icon to the right of your second+ Center’s calendar name.
  6. On the “Basic” tab, scroll to the bottom of the screen to Locations/Address and set it as the Center’s name you added in the above step.Ensure the address below the “Locations/Address” field is correct.Save.png
  7. This is also a good time to check your Center’s location hours by navigating to the “Scheduling” tab.Screenshot 2024-09-03 at 12.58.19 PM.png
  8. If your booking pages, messages, etc., still show the wrong contact/location details after updating all of the settings above, check to ensure you didn’t incorrectly enter the information by hand.

      1. If a booking page displays incorrect information, navigate to the “Booking Pages” tab, then select the booking page with issues. Then check:
