To minimize disruption to your assessment schedule as much as possible, we’ve created a guide on what to do when you sell or buy a Mathnasium Center.
Seller:
As the seller, how you transfer your Apptoto account to the new owner will depend on how many centers you own and how your account is set up.
Note: These directions assume that you have signed up for Apptoto with your Center’s default/standard Gmail and are not using a personal email/calendar to schedule assessments. If you are using anything other than locaitonname@mathnasium.com, please contact support@apptoto.com.
One Center Per Apptoto Account
If you have one center managed under one Apptoto account, transferring Apptoto ownership is simple:
- Determine the date on which the Center’s Gmail, Google Calendar, and Apptoto accounts will be transferred to the new owner
- Do not remove any synced Calendars or change any settings
- The new owner can assume the Apptoto account on the date of transfer, and everything should continue operating as expected.
Similarly, if you own multiple centers, each managed under its own Apptoto account, you can also follow the directions above for the centers you are selling.
Multiple Centers under One Apptoto Account
If you own multiple centers managed under the same account, you’ll need to take a few additional steps to transfer ownership of your Center’s Apptoto account.
How you proceed will depend on whether you sell all locations managed under the same Apptoto account or only a few. If you sell all Centers in your Apptoto account to the same person, use the “One Center Per Apptoto Account” directions above.
If you are selling one or a few Centers and want to maintain access to your existing Apptoto account to manage the remaining Centers, please do the following:
- Determine the date on which the new owner will receive access to the Center’s Gmail, Google Calendar, and Apptoto accounts.
- Do not change any settings or desync the Center’s calendar that’s being sold YET.
- Log out of your existing Apptoto account.
- Navigate to the Mathnasium Group Sign-Up page and create “Sign Up with Google.”
- Enter the email and credentials of the Center you will be selling.
- Follow all prompts to grant Apptoto the necessary permissions.
- Once the new account has been created, do not sync the Center’s Calendar.
- Apptoto will not allow you since it’s still synced to your existing account.
- Set up booking pages for the new Center and ensure all other messages, notifications, and user settings are set up as desired.
- Give the new owner access to the new Apptoto account.
- On the date of transfer, disconnect the “Sold” Center’s calendar from your existing account and inform the new owner.
- The new owner can now sync the Center’s Calendar to their new Apptoto account and should then follow the directions below.
Purchaser:
One Center Per Apptoto Account
- Assume the Apptoto account on the agreed-upon transfer date.
- Log into Apptoto and navigate to the "Settings" > "Calendar" tab.
- Confirm that the synced calendar is the calendar you want assessments to continue to be booked on.
- NOTE: If you changed the password of the Mathnasium Center’s Gmail account upon purchase, you may need to resync the Calendar in Apptoto. Navigate to "Settings" > "Calendar." If you see a red warning error to the right of the calendar name, click the warning to resync the Calendar with your new password.
- Under the "Settings" tab, update your Contact Info and Notifications preferences as needed.
- Next, navigate to the "Settings" > "Calendars" tab and click the gear icon next to a synced calendar.
- On the "Scheduling" tab, update the hours you will be available to take assessments if they have changed (from the previous owners).
- Update the notifications settings if desired on the "User" tab.
- Navigate to the "Booking Pages" tab and click the booking page names to review.
- Confirm all settings are set up as expected, being sure to pay close attention to the "General," "Availability," and "Appointment Types" tabs.
- If needed, schedule a call with our Customer Success experts to confirm everything is good to go!
Transfer of Newly Created Account from Multi-Center Owner
- Work with the Seller to set up a new account for the Center you are acquiring before the transfer.
- This includes creating Booking pages based on your preference before the transfer date.
- Assume the Apptoto account on the agreed-upon transfer date.
- On the transfer date, the “old” owner should disconnect the Center’s calendar from their existing Apptoto account.
- Navigate to “Settings” > “Calendars.” Then click “+Add.”
- Click Google, then select the center’s email where it says “Select Google Account.”
- Confirm your calendar’s settings (such as hours of availability and notification settings) and follow the remaining prompts to sync the calendar.
- Under the "Settings" tab, update your general Contact Info and Notifications preferences as needed.
- Navigate to the "Booking Pages" tab and click the booking page names.
- On the "Availability" tab, set the “Calendar” field to the name of the Calendar you synced in step 4.
- On the "General" tab, enter your Radius ID in the CRM settings.
- Confirm all additional settings are set up as expected, paying close attention to the "General" and "Appointment Types" tabs.
- Finally, contact Mathnasium Support for assistance updating your Assessment booking URL on your Mathnasium Center’s landing page.
- If needed, schedule a call with our Customer Success experts to confirm everything is good to go!
